Hotel day book software

The register, the running balance, and why it stops matching. Updated 15 July 2026.

Most small Indian hotels run money on paper. A register, a pen, and a running balance in the last column. It works, right up until the moment it doesn't — and then finding out where it stopped working costs an evening.

Why the register stops matching

  • Someone strikes an entry out. Now every balance below it is wrong, and nothing says so.
  • Someone corrects the balance but not the entry. Or the entry but not the balance.
  • Two people write in it. Reception takes ₹2,000, the owner takes ₹2,000, one of them is written down.
  • Nobody adds up until month end. By then the mistake is 300 rows back.

The register isn't the problem. Arithmetic done by a tired person at 11pm is the problem.

How Hridyaa's day book works

It's the same register, in the same order, with the same columns — money in, money out, running balance. Three things are different:

  • The balance is never stored. It's calculated from the entries every time you look. So it cannot drift out of step with them — if the entries are right, the balance is right, always.
  • Voided entries stay visible, struck through. Nothing vanishes. You can see what was voided, and the balance below heals itself automatically.
  • Money is stored in paise, as whole numbers. No decimals, no rounding drift. ₹2,000 is 200000 paise — a number a computer can't lose track of.

This sounds like a small thing. It is the difference between a book you trust and a book you re-check. We rebuilt it this way because The Paprika's day book used to disagree with the cash box, and finding out why took hours we didn't have.

What else it does

  • Categories for entries, so you can see where the money actually went
  • Per-day totals, and a balance you can check against the cash box in seconds
  • Payments from bookings flow in automatically — no double entry
  • Export to Excel or PDF whenever you want, without asking anyone
  • Works on the phone, so it can be updated at the desk rather than remembered

What it replaced

At The Paprika, a separate day book app at ₹1,000 a month. It's built into Hridyaa, so that stopped. It's also the reason the balance sheet is mostly done before the accountant starts.

Common questions

Is this a cash book or a day book?

Both — it's the same thing under two names. Money in and money out, in date order, with a running balance.

What happens when I void an entry?

It stays on the page, struck through, and the running balance recalculates itself. Nothing disappears — a book where entries vanish is a book nobody can audit.

Can my receptionist use it without seeing my P&L?

Yes. The Receptionist role covers the front desk and guest records but not accounts, staff or settings.

Can I get the data out?

Export XLS or Export PDF, on the screen, any time. You don't need our permission and you don't raise a ticket.
